FLYdocs:Transforming Aircraft Record Management with innovative paperless solutions

CIO Vendor Air traffic in India has inflated exponentially over the last five years both in terms of aircraft movement and passenger traffic. The compound annual growth rate (CAGR) of total aircraft movements was 3.3 percent and 5.6 percent for passengers during FY11 to FY14. In the next five years, the aviation sector is forecast to continue to grow in terms of the aircraft movements, passengers and freights. The operation of modern commercial air transports now increasingly also depends on digital systems for services - like autopilots operating on board. As in other areas of aviation, and to simplify maintenance operations, facilitate regulatory compliance and reduce costs, paperless technologies are also being incorporated into aircraft records management and fleet transitions [Aircraft Acquisitions, Sales and Lease Returns].

Paperless operations have the ability to deliver significant efficiency gains, but despite having a strong business case and the technology being readily available it still remains a challenge for the industry. Aiding airlines make the shift to digital from paper records is FLYdocs. FLYdocs developed their ground-breaking software in 2011. The Future
The Indian market, in the next 10 years,is reckoned to expand at an augmented rate. As the Indian aviation industry gears to explode in a positive way, the economic growth of India safeguards the fact that aviation industry of India will leave China behind, in the upcoming years.

With customers across Europe, Americas and Asia, FLYdocs will continue to invest in and grow its Indian operation and forecasts to have 1000 employees in this strategic hub in the next 3 years.

FLYdocs India Profile
FLYdocs now has 9 offices across Europe, the Americas and Asia. But it is its office in Gujarat that is by far its largest and fastest growing. Set up in 2012 in order to support international business growth, there are now almost 200 employees developing its revolutionary software product and delivering projects for leading aviation companies around the globe from India.

Adrian Ryan, FLYdocs CEO, believes that the availability of good technical and customer service talent in India [both the national and local market]and the strong regional management team that the global company has built in this office have fueled the rapid growth of the Indian operation and contributed to FLYdocs being the largest provider of its kind in the world: “We’ve built a great team and have the right Indian Management Team and infrastructure to continue to scale the Gujarat office to be the hub of our global operation.”

Following private equity funding in FLYdocs earlier this year to support its ambitions,FLYdocs invested in a new state of the art facility in Gujarat with the capacity facilitate 1,000 employees to meet forecast growing demand.

In addition to some of the traditionally associated back office functions, FLYdocs has its global support centre, R&D teams and specialist aviation technical consultants based out of here. The customer facing teams spend much of their time traveling to deliver services on customer sites around the globe.

“We invest heavily in our people as well as the FLYdocs product and our service to our clients. Every year we bring many people from the office in Gujarat to the UK for intensive training for months at a time on what it takes to be a FLYdocs employee,” explains Mr. Ryan. “They then bring this expertise to the Gujarat office. We also send our global staff to India for training too, and it’s a very popular destination for FLYdocs staff based outside of India. I myself have been three times this year already. The cultural benefits of bringing our teams together means we all get to share our global experience and way of life to make sure that all of our staff enjoy working within the business which then translates into happy customers.”

Additional Benefits
FLYdocs’ advanced cost effective system for storing, indexing and controlling documents in one central location aids clients in accessing their records from anywhere in the world. It renders them a secure and limited (or restricted) access to their local CAA or to assist them to work in conjunction with the Operator or MRO.

Besides, by opting for the FLYdocs product, companies are covered for disaster recovery. If the client’s records are damaged or destroyed they still have a perfect high resolution back up tore-print and re-generate a full new copy of their records from FLYdocs. The companies also get to budget as FLYdocs supplies all of the servers, support and ongoing training within the set fixed price cost. FLYdocs also facilitates End of Lease handbacks, keeping Lease consultants away from the records throughout the process.

FLYdocs builds all of the essential compliance documentation that sits with the status information of an entire aircraft in less than a few hours from beginning to end. That´s over 1000 Hard Time/ On Condition Components, 300+ Airworthiness Directives (Airframe, Engines, Equipment etc), 200+ Service Bulletins, all Engines, Gears, APUs, Repairs, Operator Modifications, CPCP ad SI. A process that would manually require many months done by humans is conducted by FLYdocs in less than three hours.

Single Document Recovery Delivers All the Return on Investment
FLYdocs had been working with a carrier in Europe, to get their Tech Records scanned and into one central system when the customer called for help. A maintenance issue grounded the aircraft unexpectedly when they found that a Common Nozzle Assembly on one of their Engines did not match the part number and serial number they had on file for the C.N.A at delivery, and they had no trace for the correct data at all.

The records for this aircraft were only just in the process of being scanned by FLYdocs, so the Airline didn’t have online access to search themselves. They had been trying to find the documentation manually for the C.N.A for 2 days, and in the meantime had installed a new part costing almost US $1million in order to get the aircraft back into operation.
They asked FLYdocs to help them search back to birth for the documentation. There was no specific part number or serial number to work with, as well as no dates and no other supporting data – basically, nothing apart from ‘Common Nozzle Assembly’ to work with. Within 2 seconds of starting its search FLYdocs had found 57 documents that related to C.N.A works undertaken during the life of the aircraft, and after auditing these for about 20 minutes were able to find a Form 1 for a change made by the Lease company only 3 weeks before the aircraft was delivered in to the client.

Following this trail, FLYdocs quickly found 2 more handwritten documents for the C.N.A change which proved the history of this part – proving that the Lease company had fitted the wrong part before delivery. Although, technically, the Airline still signed for the aircraft, they were still able to go back to the Lease company and come to an agreement over the compensation for the C.N.A which more than paid for all of the works FLYdocs were doing on all of their aircraft, meaning that with just one single piece of assistance to the airline on just one day FLYdocs had racked up to cover the cost of all works being done over a 5year period.
